Event Participation & Exhibitor Guidelines
By registering for Investor Weekend, attendees, sponsors, and exhibitors agree to comply with the terms and conditions set forth by Savvy Investors (Event Management). Participation in the event grants Event Management the right to alter the event schedule, venue, or content at any time as necessary. All payments are non-refundable; however, tickets may be transferred to another individual or a future event.
Liability & Indemnification
Savvy Investors, the event venue, and their representatives are not responsible for the personal safety of any attendee, exhibitor, or sponsor. Participants waive all claims against Savvy Investors and the event venue for any damage, theft, or loss of property, as well as any injury or death resulting from participation in the event. Exhibitors and sponsors are responsible for obtaining their own insurance and agree to indemnify and hold harmless Event Management from any claims arising out of their participation.
Exhibitor & Sponsor Terms
Exhibitors and sponsors must adhere to the following rules and regulations:
Exhibits must be fully set up by the designated time and may not be dismantled before the event has closed.
Exhibitor personnel must wear official badges at all times.
Distribution of promotional materials is limited to your assigned space. Materials may not be distributed in common areas such as registration, lounges, or the main event floor.
Any signage or displays must be free-standing and confined to your allocated space.
Exhibitors may not affix anything to the venue walls or fixtures.
Any exhibits deemed unsafe, inappropriate, or disruptive by Event Management may be removed without refund.
Failure to comply with these guidelines will result in forfeiture of participation without refund and may affect future opportunities to exhibit at Investor Weekend.
Payments, Cancellations, and Late Fees
A non-refundable deposit is required upon signing any sponsorship or exhibitor agreement. Full payment is due 30 days prior to the event. Late payments will incur a $50 fee. Any exhibitor or sponsor canceling within 30 days of the event will be liable for the full balance. Payment must be made in full before the event date to maintain participation.
Insurance and Risk of Property
Exhibitors who provide food samples or any edible items must obtain approval from Event Management and provide proof of liability insurance with limits not less than $300,000. Event Management is not liable for any injuries or damages caused by the distribution of these items.
Event Cancellation and Force Majeure
In the case of unforeseen circumstances such as adverse weather, labor disputes, acts of God, or any other emergency situations beyond the control of Event Management, the event may be rescheduled or relocated at the discretion of Event Management. No refunds will be issued in such cases. Participants agree that the new event date or location will be subject to these same terms and conditions.
Assignment of Space
Exhibit space will be assigned based on availability and at the discretion of Event Management. While we make every effort to accommodate exhibitor preferences, Event Management reserves the right to alter the floor plan or reassign space. Exhibitors are not allowed to sublet or assign their space to another company without prior written consent from Event Management.
Publicity and Use of Event Materials
By participating in Investor Weekend, all attendees, exhibitors, and sponsors grant permission for Event Management to use photographs, videos, and other promotional materials collected during the event for marketing purposes without compensation. Exhibitors may be listed in event promotional materials, including the website and printed materials.
Governing Law and Legal Fees
Any disputes arising from participation in Investor Weekend will be governed by the laws of the State of Oklahoma. Should litigation be necessary to enforce any part of this agreement, Event Management is entitled to recover legal fees, including attorney fees, in addition to any damages or relief awarded. Venue and jurisdiction will be in Oklahoma County, Oklahoma.
Changes and Modifications
Event Management reserves the right to modify these terms at any time. Any additional rules or changes will be communicated to all participants before or during the event. Such modifications will be considered binding and enforceable.
Americans with Disabilities Act (ADA) Compliance
Savvy Investors is committed to providing an accessible environment for all attendees. Exhibitors or sponsors requiring special assistance under the ADA must notify Event Management at least 30 days before the event.
